Privacy policy
Last updated: October 13, 2026
This is an English translation of our Dutch privacy policy. Dutch law applies. If the two versions differ, the Dutch version at montari.nl/privacy prevails.
Montari builds custom AI automation for businesses. When you use this website and our services, we sometimes process personal data. We do that carefully and in line with the General Data Protection Regulation (GDPR). This policy explains exactly what data we process, why, who we share it with and what rights you have.
This policy covers the website and our services. The Montari work order app has a separate privacy policy of its own (in Dutch, at montari.nl/app-privacy).
Who is responsible
Montari is the controller responsible for processing your data. You can reach us at info@montari.nl or by phone at +31 6 2703 2460. Montari is registered with the Dutch Chamber of Commerce (Kamer van Koophandel) under number 42148366 and located at Oude Apeldoornseweg 45-067, 7333 NR Apeldoorn, the Netherlands.
What data we process and why
We only process data that you give us yourself or that is technically necessary:
- Contact and requests. When you email us, fill out the contact or scan form, or schedule a call, we process your name, email address, company name and the content of your message. Purpose: answering your question and, where relevant, making a proposal. Legal basis: performance of the contract or our legitimate interest in responding to your request.
- Calls you schedule. When you schedule a call through Calendly or through our booking page in Google Calendar, we process your name, email address and your answers when booking. We hold the call on Google Meet. Calls scheduled through Calendly are recorded with Calendly Notetaker, which makes a transcript and a summary of them. That way we have a record of what we discussed and agreed. You get an email from Calendly about this before the call. Don't want a recording? Email info@montari.nl beforehand or say so at the start. We then turn the recording off and delete anything already recorded. Legal basis: our legitimate interest in keeping an accurate record of calls. You can object to this at any time.
- The chat with the Front Desk Agent. What you type in the chat is processed to answer your question. These messages are processed through our AI provider. Your data is not used for training. So that we can follow up on your question, the Montari team receives a notification with the content of the conversation, and we store the conversation in our own system. It is deleted automatically after 180 days. Do not type sensitive or confidential information in the chat.
- Statistics. With your consent, we keep anonymous, cookieless visitor statistics (visitor numbers, sources and which pages are read) and measure how fast pages load and respond (Vercel Speed Insights). These contain no personal profiles and do not follow you across other sites.
- Technical data. Our server temporarily keeps technical data, such as an IP address, to secure the site and prevent abuse.
Outreach: when we contact you
Sometimes we contact businesses ourselves, by email or phone, with an offer that fits their work. In that case we did not get your business contact details from you, but from your company's public website.
- What we process.Your company's general email address or phone number, the company name, the website and the city. No personal addresses if we can avoid them, and no other data.
- Why. To ask you once, with at most two short follow-up messages, whether our offer is something for your company. The legal basis is our legitimate interest in bringing our business to the attention of the companies it is meant for. For email, the Dutch Telecommunications Act (Telecommunicatiewet) also applies; we meet the requirements it sets for identification and unsubscribing.
- How long.If you don't respond, we remove your data from our outreach list within six months of the last message. If you say "stop", we only keep your address on a block list, so that we don't contact you again.
- Who helps us with this. For sending we use Smartlead (521 Products Pty Ltd, Australia; data is stored in Australia and with US subprocessors under the EU Standard Contractual Clauses), for checking whether an address exists MillionVerifier (GBD SaaS Kft, Hungary), and for the mailboxes themselves Google Workspace.
- Your rights. You can object to this outreach at any time; we then stop right away. Reply "stop" to our message or email info@montari.nl. You can request access, correction or deletion at the same address.
Cookies
Without your consent we do not place any tracking or advertising cookies. If you choose Accept in the notice at the bottom of the screen, we load cookieless visitor statistics, a cookieless measurement of load speed, and the Meta pixel, which uses a cookie to measure whether our ads on Facebook and Instagram lead to a visit or a request. If you choose Decline, we load nothing. We remember your choice in the local storage of your own browser; that is not a cookie sent back to us. You can clear your choice at any time by clearing your browser's storage.
Who we share data with
We never sell your data. We only share it with providers that help us deliver the service, and only as far as necessary:
- Vercel. Hosting of the website, the cookieless statistics and the speed measurement.
- Meta. Only with your consent: the Meta pixel measures whether our ads on Facebook and Instagram lead to a visit or a request.
- Our AI provider. Processes the messages from the chat to generate answers.
- Resend. Sends the email with your request from the website to our mailbox. Your name, email address and the text of your request go along with it.
- ntfy.Delivers the notification of a chat conversation or request to the Montari team's phone. The text of the conversation goes along with it, and your email address or phone number if you mention them. Notifications are kept there for at most twelve hours.
- Calendly and Google. Calendly (United States) for scheduling calls and, with Calendly Notetaker, for recording, transcribing and summarizing them. Google for the booking page in Google Calendar and Google Meet for the call itself.
- Smartlead, MillionVerifier and Google Workspace. Only for our own outreach, as described above.
Data processing agreements have been or are being concluded with these parties. Some providers process data outside the European Union; this happens with the appropriate safeguards required by the GDPR.
How long we keep data
We don't keep your data longer than necessary. We keep contact details and requests as long as they are relevant to your question or our working relationship. We delete call recordings, transcripts and summaries no later than six months after the call, unless we start working together. You can ask us to delete them sooner at any time. We keep technical logs briefly, only for security and troubleshooting.
Your rights
You have the right to access your data and to have it corrected or deleted. You can also object to processing, or ask for restriction or transfer of your data. Send an email to info@montari.nl and we will take care of it. If you disagree with something, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
Security
We take appropriate technical and organizational measures to protect your data against loss and unauthorized access.
Changes
We may update this privacy policy when our service or the law requires it. The date at the top shows when we last changed something.
